Privacy Policy

Casescout (“we”, “us”) provides AI-powered legal research for Canadian case law, and Disclosure Review, which transcribes and analyzes recordings and documents you provide. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

• Account information: your name and email address when you create an account.
• Research data: the questions you ask and the research history generated by your use of the service.
• Usage and device data: standard analytics such as pages viewed and approximate location, used to improve the service.
• Payment information: processed by our payment provider; we do not store full card details.
• Disclosure Review, cloud matters: the recordings you upload or import from Google Drive, their transcripts, your notes and bookmarks, and the text extracted from documents you add. These are stored in Google Cloud Storage in the United States and can be opened only by you.
• Disclosure Review, matters kept on your computer:only the speech audio of each recording passes through our servers for transcription and is not stored; transcripts and notes are written to a folder on your computer. If your browser cannot read a recording’s format and you choose “Convert on our server”, that one file is converted on our server and deleted as soon as its audio is extracted. Documents you add are sent to our server to extract their text and nothing is stored.

How we use your information

• To provide, maintain, and improve the service.
• To authenticate you and secure your account.
• To process payments and manage subscriptions.
• To communicate with you about the service.

How we protect your data

Your queries and research history are encrypted in transit and at rest. We do not use your queries to train public AI models. Access is restricted to authorized personnel.

Data sharing

We do not sell your personal information. We share data only with service providers who help us operate the service (for example, hosting and payment processing), under appropriate confidentiality obligations, or where required by law.

Disclosure Review uses these AI providers. Speech-to-text and every text model call (summaries, chat, the timeline) go through OpenRouter under a zero-data-retention agreement, so the provider keeps nothing after the response; AssemblyAI may be used as a fallback for speech-to-text. If you turn on footage analysis, a reduced copy of each selected recording (picture and sound) is sent to Google’s Gemini API. Google does not train on it; we delete our copy after analysis, and Google may hold it for up to 48 hours. That step is the one not covered by zero data retention.

Google user data

Casescout offers “Continue with Google” sign-in. When you use it, we receive your name, email address, and profile picture from your Google account, and use them only to create and secure your Casescout account. We do not share Google user data with third parties, use it for advertising, or allow humans to read it except with your consent or for security purposes. Casescout’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Disclosure Review can import recordings from Google Drive. We ask for the drive.file permission, which lets us read only the files you pick in Google’s file picker. Those files are copied to Casescout storage for processing. The access token Google issues is stored encrypted and is used only to copy the files you picked; disconnecting Google Drive in Casescout revokes it. We do not use Google Drive data for advertising, share it with third parties, or allow humans to read it except with your consent or for security purposes.

Your rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information, and to withdraw consent. To exercise these rights, contact us.

Data retention

We retain your information for as long as your account is active or as needed to provide the service and comply with legal obligations. Deleting a recording or a matter in Disclosure Review deletes our copy of it; your original files on your computer or in Google Drive are never moved, edited or deleted by us.
